Information Security

Information security policy

This is a translation provided for convenience. The Japanese text is authoritative.

OUEN Co., Ltd. (“we”) supplies visual inspection AI and generative AI systems to manufacturers, and we take it as a condition of doing that business that the information our customers entrust to us is protected. We have set out the following policy on information security, which our directors and every employee follow.

1. Scope

This policy applies to all of our business activities, to every director and employee, and to every information asset we handle. Information assets include the images, drawings and specifications of inspection subjects entrusted to us by customers, the software and AI models we develop, the technical and commercial information about customers that we come to know through our work, and personal information.

2. Handling what customers entrust to us

During pre-validation, contract development and implementation support, we receive customers’ product images, drawings and specifications. Recognising that these are important technical information to a manufacturer, we handle them as follows.

  1. We use what we receive only within the purpose agreed in advance.
  2. We do not disclose or provide it to third parties without the customer’s consent.
  3. Where it becomes necessary to process it on an external service outside our control, we obtain the customer’s agreement first.
  4. Where a customer asks for one, we conclude a non-disclosure agreement before receiving the information.

3. Compliance

We comply with the laws on information security, with the guidelines issued by government and other standards, and with the requirements of our contracts with customers.

4. How we are organised

Our representative director holds ultimate responsibility for information security. We set and operate internal rules covering the management of information assets, the granting of access rights, and the management of equipment and storage media.

5. Training

We keep our directors and all employees informed and trained on why information security matters and on how this policy is to be applied.

6. If something goes wrong

Where we find an information security incident, or a sign of one, we establish the cause promptly and take measures to prevent the damage spreading and to recover. Where customers may be affected, we contact them promptly.

7. Continual improvement

We review this policy and our internal rules as the business environment and the technology change, and we improve our information security continually.
